Architectural Junior Project Manager/ Project Coordinator

Job Summary:
We are seeking a detail-oriented and proactive individual to join our team as a Junior Project Manager / Project Coordinator / Associate Project Manager. This hybrid role involves supporting project management activities, including resourcing, task tracking, and coordination, as well as assisting with site visits, design documentation, and client presentations. The ideal candidate will be organized, communicative, and adept at multitasking, with a keen eye for detail and the ability to manage multiple projects simultaneously.

Key Responsibilities:
Project Management:
- Communicate with clients to clearly define the scope of work and budget.
- Develop complete construction documents, including drawings, sketches, and specifications.
- Track and report on project progress, budget, and schedule.
- Resolve project issues and conflicts.
- Coordinate with contractors and consultants to ensure project objectives are met.

Email and Communication Management:
- Monitor and track relevant project emails.
- Assign tasks from emails to Trello and follow up on their progress.
- Coordinate with Project Managers to ensure efficient task assignment and tracking.

Task Assignment and Tracking:
- Assist Project Managers in assigning tasks on Trello based on project progress.
- Ensure tasks are updated and tracked efficiently.
- Assign tasks to relevant BIM team members or consultants as needed.
- Follow up with clients and contractors on action items from emails, site visit reports, and Trello tasks.
- Update the Operations team weekly on project progress, milestones completed, and pending tasks.

Site Visit Coordination:
- Read site visit reports prepared by Project Managers and create appropriate action items in Trello.
- Track completion of site visit-related tasks and handle associated emails.
- Assist in coordinating site visits and initial surveys.
-Attend site visits with senior staff and work towards independence to runs one own site visits.
- Prepare site visit reports using Plangrid and/ or word.
- Coordinate asbestos testing, bidding, DOB filings, initial FISP report filings, FISP 2 extensions, and sidewalk shed letters.

Meeting Participation and Documentation:
- Attend kick-off meetings as necessary and prepare meeting minutes.
- Create meeting minutes based on recordings when unable to attend in person.
- Attend board/client Zoom meetings and document minutes, or prepare minutes from recordings.
- Create Trello action items from meetings and coordinate with the appropriate BIM team members, Project Management team, Operations team, clients, and consultants.

Construction Administration:
- Assist Project Managers with construction administration and oversight, including responding to RFIs, preparing sketches and addendums, and preparing punch lists.
- Track the construction schedule and budget using Trello, Word, Excel, and Google Calendar.
- Resolve issues discovered in the field through collaboration with Project Managers and Principals.
- Assist in the preparation of FISP reports and use DOB software for input and submission to jurisdictional authorities.

Design and Documentation:
- Assist in the preparation and coordination of drawing packages utilizing Revit consistent with project design objectives and programming elements.
- Gather and coordinate information and assist with property, code, and zoning research.
- Assist in the preparation of renderings, design documents, and presentations.
- Assist in revisions of drawings and presentations to reflect feedback received from clients, project principals, and in-field circumstances.

Qualifications:
- Bachelor's degree in Architecture, Construction Management, or a related field preferred.
- 2+ years of experience in project coordination or a similar role in the architectural or construction industry.
- Proficiency in project management software such as BQE, Plangrid, Trello, or similar tools.
- Excellent communication and organizational skills.
- Ability to multitask and manage multiple projects simultaneously.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with Revit and BIM technology.
