Year Round Seasonal Position

Hourly Rate: $22.75

Hours Per Week: 37.5


Minimum Qualifications
A high school diploma or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), customer service, business writing, and office management.
 

Duties Description
The position is located within the Reservations & Pass Programs Bureau of the Office of Parks, Recreation and Historic Preservation (OPRHP). The position is responsible the day-to-day administrative support of the Operations Division. This position works as part of a team to provide sufficient office coverage and administrative support to the Director of Agency Operations, Bureau Directors, and bureau staff. This is a shared position across three bureaus within the Operations Division. Incumbent must be able to complete duties such as:

  • Provide administrative support for Operations Division, Reservations & Pass Programs, Sustainability and Swimming Pools & Spray Grounds
  • Arrange and process travel in accordance with state/agency guidelines.
  • Order office supplies and maintain inventory.
  • Complete procurement and requisition requests in accordance with state/agency guidelines.
  • Reconcile departmental purchases and travel documentation in SFS (Statewide Financial System).
  • Manage bureau calendar and schedule meetings (Microsoft Teams/Webex).
  • Attend meetings, record, and share meeting minutes with staff.
  • Schedule and prepare materials for candidate interviews.
  • Onboard/Offboard employees.
  • Maintain bureau records in accordance with records retention schedule.
  • Track/update monthly operations budget reporting.
  • Prepare bureau reports, as needed.
  • Document and update bureau processes and procedures.
  • Coordinate annual statewide publications distribution.
  • Manage Bureau’s SharePoint site.
  • Resolve day-to-day administrative operational issues.
  • Provide professional and courteous customer service to staff and members of the public.
    • Assist other programs within the bureau, including, but not limited to:
    • Phone coverage
    • Updating daily voicemail log
    • Monitoring shared mailboxes
    • Opening Access Pass/Empire Pass mail
    • Fulfilling Access Pass/Empire Pass mail orders
    • Mailing out applications
    • Supporting camping/pavilion program projects as they arise
       

Operational Needs:

  • Applicants must be detail oriented, possess strong organizational skills and the ability to work independently in a fast-paced environment while maintaining professional communication with bureau staff and the public.
  • Must be flexible with assignments and be able to change efficiently from task to task as assigned by supervisor.
  • Must be comfortable with database-related computer work.
  • Experience with Microsoft Office Suite are required. The ideal candidate should also be proficient with various virtual meeting platforms.
