Bookkeeper

  • Work Location: In-Person, On-Site
     
  • Schedule: Monday–Friday, 8:30 AM – 5:00 PM
     
  • Salary Range: $45,000 – $55,000/year (based on experience)

Job Summary:

Hudson Milestones, a nonprofit agency serving individuals with intellectual and developmental disabilities, is seeking a reliable and detail-oriented Bookkeeper to support our Finance Department. The Bookkeeper is responsible for the accurate recording of financial transactions, assisting with accounts payable/receivable, data entry, reconciliations, and supporting audits and compliance activities.

This role is essential to maintaining the integrity of our day-to-day financial operations and supports the agency’s ability to fulfill its mission through sound fiscal management.

Key Responsibilities:

Accounts Payable/Receivable:

  • Review and enter vendor invoices into the accounting system.
     
  • Ensure invoices are properly coded, approved, and paid on time.
     
  • Process check runs and maintain organized payment records.
     
  • Follow up with vendors regarding discrepancies or payment issues.
     
  • Prepare and issue client invoices as required.
     

Banking & Reconciliation:

  • Reconcile bank statements and credit card accounts monthly.
     
  • Ensure accurate posting of cash receipts and disbursements.
     
  • Record deposits and monitor bank balances for accuracy.

Data Entry & Recordkeeping:

  • Maintain the general ledger and input journal entries as directed.
     
  • Organize and maintain all financial files, including supporting documentation.
     
  • Assist with maintaining fixed asset schedules and depreciation records.

Payroll & Support:

  • Assist Accountant with payroll data entry and employee changes (not processing).
     
  • Reconcile payroll deductions and benefits reports as needed.

Grant & Program Support:

  • Support tracking of grant expenditures for accuracy and compliance.
     
  • Maintain detailed records to support grant reporting and reimbursement claims.

Audit & Compliance Assistance:

  • Assist in preparing financial records for annual independent audits.
     
  • Respond to auditor and funder requests for supporting documentation.
     
  • Maintain confidentiality and ensure proper internal controls are followed.
     

Administrative Support:

  • Provide support to the Finance Department on special projects.
     
  • Assist with preparing financial reports for internal and external stakeholders.
     
  • Communicate professionally with staff, vendors, and partners.

Qualifications & Requirements:

  • Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred).
     
  • Minimum 2 years of bookkeeping or financial recordkeeping experience.
     
  • Experience in nonprofit accounting or fund accounting is a plus.
     
  • Proficiency with Microsoft Excel and accounting software (QuickBooks, Paychex Flex, or similar).
     
  • Strong organizational skills with attention to detail and accuracy.
     
  • Ability to manage multiple tasks and deadlines in a team-oriented environment.
     
  • High level of discretion when handling confidential financial data.
     
  • Familiarity with GAAP and nonprofit financial practices preferred.
     
  • Must be 21 years of age or older with a valid New Jersey driver’s license.
