Role Overview

 

 

We’re looking for an Executive Operations Assistant / Secretary (Intern) to work side by side with the Executive Director and sit at the intersection of podcast production, editorial workflows, studio projects, IP protection, and day-to-day operations.

 

This is not a pure admin role. Yes, you’ll handle scheduling and communication—but you’ll also help coordinate live productions, track content pipelines, sit in on high-level meetings, and help keep critical projects (from podcasts to patents) moving.

 

You will have visibility into how a media/tech startup actually runs and the chance to take real ownership over systems and follow-through, not just calendars.

 

 

 

What You’ll Do

 

 

1. Executive Support & Coordination

 

Manage the Executive Director’s calendar and coordinate meetings with internal teams, candidates, partners, and advisors.

Help organize priorities across editorial, studio, tech, and operations so nothing critical falls through the cracks.

Draft and refine emails, short memos, and follow-up notes on behalf of the Executive Director.

 

 

2. Podcast & Studio Production Support

 

Help coordinate scheduling for podcast recordings, prep calls, and studio sessions.

Track episode status from idea → outline → recording → editing → release.

Maintain shared docs and checklists for studio workflows (run-of-show, asset needs, deadlines, etc.).

Assist with communication between hosts, producers, designers, and editors to keep projects on time.

 

 

3. Editorial & Content Pipeline Support

 

Sit in on select editorial meetings to take notes and track decisions.

Help maintain simple trackers for upcoming articles, newsletters, and key deadlines.

Assist with organizing briefs, outlines, and reference materials in shared drives/Notion so writers and editors can find what they need quickly.

 

 

4. IP & Confidential Projects Support

 

Help organize documents related to IP protection efforts (patent filings, NDAs, internal guidelines, versioned drafts).

Maintain updated lists of who has access to what, and help ensure confidentiality is respected in day-to-day workflows.

Assist in preparing clean, organized materials for lawyers, advisors, and other external partners when needed.

 

 

5. Meetings, Notes, & Follow-Through

 

Join selected leadership, studio, and editorial meetings to capture notes, decisions, and action items.

Distribute concise summaries and next steps to attendees.

Track follow-up items and remind owners of deadlines so decisions turn into action.

 

 

6. Systems & Organization

 

Help keep Google Drive, Notion, and other tools logically organized across divisions.

Create and maintain simple, practical lists and dashboards for the Executive Director (key projects, status, upcoming deadlines).

Suggest small process improvements as you see patterns in how the team works.

Internship Structure & Compensation

 

 

This is an unpaid internship.

As GK Media Group grows, strong interns may be considered for future paid or equity-based roles, depending on company needs and separate written agreements; no such opportunities are guaranteed.

 

 

 

 

Qualifications

 

 

Strong written and verbal communication skills.

Very organized, responsive, and comfortable managing details across multiple projects.

Able to handle sensitive information with discretion.

Comfortable with Google Workspace (Gmail, Calendar, Docs, Drive); willing to learn Notion and other tools.

Reliable follow-through—if it’s on your list, it gets done.

Interest in media, journalism, or startups is a plus; prior executive support or operations experience is helpful but not required if you can show the skills.

 

 

 

 

Details

 

 

Type: Unpaid internship.

Location: Remote-first, with optional hybrid collaboration in Boston or New York City.

Schedule: Flexible and designed around school or other commitments, but requires consistent communication and presence during agreed-upon core hours.
