Events Coordinator

Position Title: Events Coordinator

Position Reports To: Director of Events, Clubhouse Manager 

Employee Category: Full Time Year-Round; Benefit Eligible

FLSA: Non-Exempt; Hourly Position

Compensation: $25-$27.50/hr. based on experience

 

Position Overview:         

The Events Coordinator is responsible for the administration and execution of various food and beverage functions at the club. This role has dual functionality in the planning of events and the execution of the event service itself, as assigned. This position is best suited for a person with a high level of organizational and administrative skills, deliberate attention to detail, and an ability to prioritize tasks. As a visionary, they plan and bring to life the various events and functions on property by incorporating thoughtful and personalized touches. The position is member-facing and works diligently to meet and exceed member expectations.

 Primary Responsibilities:             

  • Answers or returns calls/communications in a prompt, courteous, and enthusiastic manner.
  • Demonstrates administrative proficiency and excellent communication skills.
  • Receives inquiries/requests for events and follows up or follows through appropriately. 
  • Utilizes event management software, Jonas Encore, to plan and communicate event details.
  • Assists in maintaining 12 months of Master Calendars.
  • Responsible for booking assigned annual events, club group events, and sporting functions.
  • Produces write-ups for Standard Weekly Events and those events directly assigned for booking.
  • Produces and distributes Change Sheets with any modifications or updates as necessary.
  • Maintains event files in an organized fashion, ensuring completeness with preliminary notes, diagrams, change sheets, Profit & Loss statement, and any other additional or relevant documents as needed.
  • Places orders for flowers, rentals, AV equipment, specialty linens as directed by event host, noting proper account billing of same.
  • Advanced knowledge of club wine, beer, cocktail, and non-alcoholic beverage offerings.
  • Advanced knowledge of our menus and being able to answer questions about ingredients or cooking techniques.
  • Oversees event and function operations as assigned.
  • Leads event pre-shift meetings with staff, as assigned.
  • Ensures smooth coordination between kitchen and front-of-house teams.
  • Monitors event food quality, presentation, and service standards in conjunction with the culinary and beverage teams, as assigned.
  • Provide outstanding guest service while maintaining impeccable attention to detail.  
  • Additional duties/projects as assigned by management.

 Required Skills:                              

  • 2+ years’ experience in the Hospitality Industry, with exposure to sales and/or operations.
  • Proficient in Microsoft Office Suite.
  • Advanced knowledge of food and beverage operations, including menus, service standards, and best practices.
  • Ability to anticipate member and guest needs.
  • Ability to speak English conversationally.
  • Availability to work nights, weekends, holidays as scheduled.

 Specialized Knowledge/Licenses Required:

  • TIPS certification

 Uniform Requirements:   

  • Professional Attire 

 Physical Requirements: 

  • Must be able to sit at a computer for up to 9 hours a day, use a telephone, and a desktop computer
  • Must be able to bend and reach for items off shelf, carry trays, and able to lift up to 40 lbs.
  • Must be able to stand for 8 to 10 hours
  • Use touch screen for POS system
