Job Overview
We are seeking a detail-oriented and proactive Proposal Coordinator to join our dynamic team. The Proposal Coordinator will play an integral role in the development of high quality, responsive and timely bid documents such as responses to Requests for Proposals (RFPs) and marketing materials.
The Proposal Coordinator will assist in the planning and development of bids, proposals, and/or proposal response documents.
In this role, you will be responsible for managing the proposal development process, ensuring that all submissions are compliant, competitive, and delivered on time. The ideal candidate will possess strong project management skills and the ability to lead cross-functional teams through the proposal lifecycle. This position is crucial for supporting our business development efforts and enhancing our strategic planning initiatives.
Responsibilities
- Oversee the proposal development process from inception to submission, ensuring adherence to deadlines and quality standards.
- Collaborate with ZOFS team to gather necessary information and resources for proposals.
- Implement process improvements to enhance proposal efficiency and effectiveness.
- Conduct thorough reviews of proposals for compliance with client requirements and internal standards.
- Support business development efforts by identifying opportunities for growth and improvement in proposal strategies.
- Maintain a repository of proposal materials, templates, and past submissions for future reference.
Qualifications
- Proven experience in proposal development, project management or a related field, with strong leadership capabilities.
- Experience with municipal, county and state agencies which advertise Engineering Opportunities for Resident Engineering Inspection, Construction Management and Civil Engineering in NY is a strong plus.
- Experience with marketing and design softwares like Canva, Adobe InDesign, Adobe Express a plus.
- Familiarity with AI softwares like ChatGPT and Claude a plus.
- Demonstrated ability to supervise teams effectively while fostering a collaborative environment.
- Experience in business development or sales is highly desirable.
- Strong understanding of strategic planning processes.
- Excellent written and verbal communication skills, with attention to detail.
- Ability to manage multiple projects simultaneously while meeting tight deadlines.
- Possess and demonstrate strong writing and proof editing skills.
