Project and Operations Coordinator

Role Overview

As a unique domestic manufacturer of high-performance European tilt-turn windows, we are scaling rapidly. We are seeking a detail-obsessed, client-facing professional to bridge the gap between our sales estimates and final delivery. You will be the primary point of contact for clients (single and multi-family) once a quote is issued, ensuring that technical specifications, glass procurement, and production timelines are perfectly aligned.

Key Responsibilities

1. Project Management & Technical Liaison

  • The Bridge: Manage the transition of awarded projects from the Estimator to the Production Supervisors.
  • Shop Drawings: Coordinate and perform the creation and approval of shop drawings, specifically for complex multi-family developments.
  • Procurement: Take ownership of glass ordering; verify lead times and ensure glass arrives in sync with the production schedule.
  • Client Success: Act as the "voice of the company" for active jobs, providing status updates and solving problems without over-committing the factory’s resources.

2. Sales Support & Pipeline Management

  • Quote Follow-up: Implement a systematic follow-up process for all outgoing quotes to increase conversion rates.
  • Lead Reactivation: Mine the existing database to re-establish relationships with past inquiries and lost leads.
  • Estimating Flow: Monitor the Estimator’s "black box." Prioritize incoming quote requests based on urgency and project value to ensure no opportunities are lost to delays.

3. Operational Oversight

  • Schedule Tracking: Monitor where each job sits across our four automated production lines.

Contract Compliance: Maintain the "fine line" between high-level customer service and scope creep, ensuring we deliver exactly what was contracted.
