Recreation Assistant

OBJECTIVE:
Under general supervision of the Recreation Director and guidance of the Administrative Assistant I and Recreation Programmers, the Recreation Assistant is responsible for assisting in general clerical, receptionist duties, program and event support duties for the Recreation and Parks Divisions. The Recreation Assistant will fill in for various seasonal positions and work various events as needed throughout the summer based on staffing.
RELATIONSHIPS:
Reports to: Recreation Director
Works with Recreation and Parks Division employees on a regular basis and communicates with other City employees, professional staff, customers and the general public.
ESSENTIAL DUTIES:

1. Greets customers in a welcoming manner; answer questions and assists administrative support staff.
2. Answers the telephone, provides basic Parks and Recreation Division information, transfers calls, takes messages, updates rainout line and handles complaints when necessary.
3. Acts as cashier dispensing change, collecting funds, and fees for program registrations/pavilion reservations/permits, accounting for petty cash, and preparing bank deposits.
4. Types, composes, proofreads and assembles labels, brochures, flyers, and other documents.
5. Processes facility and pavilion reservations.
6. Registers program participants.
7. Records and issues various City permits.
8. Records sales and receives payment for WPRA ticket sales.
9. Prepares, assembles, and assists in distribution of equipment rental items and keys.
10. Receives, sorts, and distributes incoming and outgoing mail.
11. Records and tracks various daily facility and program data into spreadsheets or recreation specific software.
12. Assists with the filing of an organized system, including registration forms, application forms, and special projects.
13. Makes appropriate posts and responds to inquiries on Division social media.
14. Assists with recreation programs and events as needed, including supply purchasing,
delivering of supplies and concessions to program and facility sites, and assistance with program preparations.
15. Provides coverage for other recreation facilities and programs as needed.
16. Performs other duties as assigned.
RECOMMENDED MINIMUM QUALIFICATIONS
Minimum education and experience required to perform essential duties of the position.
Education, Certifications and Experience:
1. Must be 18 years of age or older.
2. Office or administrative experience desired.
3. Possess or ability to obtain a valid State of Wisconsin driver’s license.
4. Recreation Programming experience highly desired.
Knowledge of:
1. Thorough knowledge of modern office practices, including good filing, and record systems, grammar, proofreading, organization, and checking for accuracy of tasks.
2. Knowledge of parks and recreation programs preferred.
Skill in:
1. Basic proficiency in Microsoft applications, including Excel, Word, Power Point, and Outlook.
2. Excellent organizational, analytical, judgement and problem-solving skills
3. Effective interpersonal skills.
Ability to:
1. Follow City/Department/Division policies, work independently, and make sound decisions.
2. Operate various office equipment, including computer terminal and printer, photocopy machine, calculator, computer cash register and computerized registration and facility booking software (ActiveNet).
3. Establish and maintain effective working relationships with City employees, Division professionals, City staff, customers and the general public.
4. Work primarily day hours from 7:30A-4:30P during the summer months, but the ability to work occasional nights or weekends for programming or event needs. Schedule can be flexible.
5. Communicate effectively, both in verbal and written form and to follow verbal and written instructions.
6. Work with minimal supervision and within the boundaries of responsibility.
7. Maintain a positive behavior and professional demeanor at all times; address resident and customer concerns in a helpful, courteous manner.
8. Work effectively as part of a team.
9. Interact with a diverse group of individuals.
10. Comply with all safety policies, practices, and procedures, and report all unsafe activities or conditions to supervisor.
11. Ability to drive an 11-passenger van to transport equipment and supplies to program sites.
EQUIPMENT, INSTRUMENTS AND MACHINES:
Machinery and equipment including a personal computer, printer, telephone, fax machine, copier, scanner, recreation-based software, cash register, computerized registration and facility booking software and other standardized or specialized office equipment, along with an 11-passenger van.
PHYSICAL FACTORS:
The physical demands described here are representative of those that must be met by any an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee regularly works in an office environment. An individual in this position is frequently involved in sedentary work, which requires sitting for the majority of the time, but may, on occasion, be required to stand for sustained periods of time while completing work. This position occasionally walks, stands, stoops, kneels, crouches, crawls, and exerts up to 50 pounds of force by lifting, carrying, pushing or pulling objects. The employee is frequently required to see/observe, talk/speak, and listen/hear; use their hands to finger, handle, feel, or operate objects and equipment; repetitive arm, wrist, hand, and eye movements are included. There is frequent twisting, reaching, wrist turning, and grasping. The employee may be required to climb or balance.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Hand-eye coordination is necessary to operate computers and various pieces of equipment. Employee is required to use cognitive ability to reason, analyze, and verbalize thoughts and ideas. Requires the ability to recognize and identify similarities or differences between characteristics of colors, shapes, and sounds associated with job-related objects, materials or tasks.
The employee may, on occasion, be exposed to outside weather conditions, including extreme heat and extreme cold. The working conditions in the office environment are comfortable. The noise level in the office environment is generally quiet to moderately noisy.
