Project Coordinator

Job Title: Project Coordinator

Job Status: Exempt/Full time

Job Location:  Nashville, TN, In-Office

Job Description:

The Project Coordinator will coordinate large and small projects and oversee the completion of projects by the Project Team, ensuring successful project delivery. In this role, the Project Coordinator’s primary responsibilities are to work with clients to research and define project goals, execute a defined project plan, create timelines, and coordinate resources to ensure project objectives are met.

Primary Responsibilities:

  • Create and manage the plan for implementing, moving and finish installation of technology solutions to the final client hand-off. Coordinates rollouts of small to large projects and client onboardings, including scheduling component projects such as installing computers, networking equipment, storage solutions and other various technologies. Coordinates schedules and milestone success in tight partnership with internal technician and engineers for Intune deployments, Gsuite, Email migrations, Server deployments, and other technologies. 
  • Assemble and coordinate the internal and external teams to gain consensus on deliverables from each team. 
  • Collaboratively adapt existing and develop new project timelines for both internal and client-facing stakeholders. 
  • Manage the formulation and ongoing tracking of each project, for weekly, monthly, and quarterly performance monitoring. 
  • Assist with the data entry for reports and coordinate internally for project updates.
  • Proactively manage changes in project scope, identify potential crises and devise contingency plans. 
  • Own the communication and execution of solution hand-over to the designated team members, at each phase of the project and at dedicated milestones.  
  • Deliver progress reports, requirements documentation and presentations to Supervising Management. 
  • Maintains an exceedingly high level of quality service by establishing and enforcing organization standards. 
  • Demonstrate strong understanding of Standard Operating Procedures (SOPs) and assist Project Team with creation and proper storage of new SOPs as needs are identified.
  • Proactively and continually contributes to team goals by accomplishing assigned objectives.
  • Work with fellow team members in a cordial and productive fashion to achieve timelines, plan for projects, and problem solve in a cooperative environment. 
  • Completes daily/weekly check-in on project deliverables and major milestones to ensure all items are on schedule. 
  • Captures all meeting notes from all Project meetings. 
  • Maintains accurate documentation regarding project and project related technical information.

 Education & Experience:

  • Associate’s degree in business or IT or communications (or related field) or 2-3 years of administrative experience in lieu of degree.
  • Certifications in project management, change management, communications management, or data analytics (CAPM, CCM, CMP or equivalent) preferred.
  • Prior experience coordinating IT, Communications, construction or operations projects preferred.
