Project Manager

General Duties: Basic management duties including all activities and communications required to ensure the timely and profitable completion of all assigned projects and orders.  Serve as the company point of contact with a client for the coordination of a project or order. 

Specific Duties:             

  • Input, update, and monitor sales order data and status information using Colite’s internal ERP System. 
  • Maintain required documentation including Sales Order Files, correspondence with clients, general contractors, subcontractors, and interoffice communications. 
  • Communicate with subcontractors via telephone and email as required to arrange services, obtain quotations and other documentation, and to confirm scheduling and progress. 
  • Provide interdepartmental communications as required to ensure project and order activities are progressing as scheduled. 
  • Maintain strict budgetary control of all external activities required to complete the order with maximum profitability.
  • Maintain strict scheduling control of all external activities required to complete the order within the allotted time as specified by the client or client’s representative, or as directed by company management. 
  • Provide project and job information to other company departments to allow for the planning, organization, coordination of the work.  Monitor the various internal Colite activities to ensure work is in compliance with client requirements and specifications, being performed in a method and manner consistent with the original intent that was quoted to the client and in a timely manner to ensure all scheduling targets and milestone dates are met.
  • Maintain constant, real time data in the Colite Order Tracking System including accurate order information relating to products, quantities, prices, billing information, shipping information, ship dates, install dates. 
  • Provide management with timely and accurate verbal and written reporting on project and order information relative to the status of various aspects of the work.
  • Maintain close, regular communication and contact with clients and always be informed and current with all aspects of the project status, schedule compliance, and commercial standing.
  • Ensure all departments within the company are provided with all necessary information to complete the work as specified.
  • Monitor and manage the commercial aspects of assigned projects and orders including pricing accuracy, invoicing projections, ensuring the timely invoicing of all completed works, and collection of client payments in a timely manner. 
  • Coordinate and monitor subcontractor installation activities to ensure accurate schedules and timely completion of the works in compliance with the scheduling requirements of the client or as directed by company management.
  • Coordinate and monitor internal Colite production and shipping activities to ensure compliance with client scheduling requirements.
  • Coordinate the activities of administrative support staff that may assist in any or all of the above noted activities.

SKILLS, CERTIFICATIONS, AND REQUIRED EDUCATION

In addition to all requirements for fulfilling the Project Manager role, other expectations include:   

  • 1-3 years experience in a professional environment
  • Must possess initiative, judgment, communication, and cooperation characteristics, in addition to strong analytical, problem solving, organizational, and planning skills.

Bachelor of Art or Science from accredited University.
